Summarized Purpose :
Provides administrative support (reception) and performs tasks related to facility services, building maintenance, and / or equipment maintenance as assigned.
Essential Functions :
Reception duties including but not limited : welcome and register visitors, take phone calls, ship and receive shipments, register post, distribute mail to employees.
Inventory, order and distribute office supplies.
Manage all security systems and badges.
Carry out regular building checks, anticipate and respond to all maintenance queries and repairs.
Liaise with suppliers, contractors, and Landlord.
Supervise all facilities related contracts.
Provide support with health and safety issues.
Assist in the space planning and move management for the office.
Presence in the office will be required from Monday to Friday (09 : 00 am - 06 : 00 pm). Occasional outside of hours work is possible to respond to facility-related emergencies.
Education and Experience :
High school / secondary school graduate or professional certification.
Previous clerical or administrative experience (comparable to 0-2 years).
Or, an equivalent combination of education, training and experience that provides the knowledge, skills and abilities to perform the job.
Knowledge, Skills and Abilities :
Good Microsoft Office skills.
Language skills : good written and spoken knowledge of English required for the job.
Good communication, organizational and interpersonal skills.
Ability to identify and set priorities and effectively perform a variety of task simultaneously.
Good attention to detail and accuracy.
Positive attitude and ability to work effectively with others at all levels of the organization.
