IDC events are a suite of high-touch gatherings, bringing together most influential technology decision-makers to exchange experience, best practices, use cases and discuss digital transformation directions across all sectors.
The Event Project Manager is a field role responsible for conference planning and delivery in the region covering 11 countries : Armenia, Azerbaijan, Belarus, Georgia, Kazakhstan, Kyrgyzstan, Mongolia, Turkmenistan, Tajikistan, Ukraine, Uzbekistan.
The target customer roles partnering IDC events are Strategic Marketing Officers, Sales Managers, CEO’s, Channel Managers, when we are speaking with the IT vendors.
The target customer roles attending IDC events are CIO, CTO, CFO, Board Members responsible for technology and other technology decision-makers.
The candidate must have a good knowledge of the local IT conference business, a comprehensive perspective across the third-party events organized on the market and vendors conferences.
Setting, communicating, and maintaining timelines and priorities on every project, is a key aspect of the role. Existing relationships with top-level IT industry executives is a plus for this role.
Event planning : maintain an analysis of competitive technology and business events across all markets, including formats, agenda specifics, key speakers, partners, budget structure and audience profile.
Develop process improvements based on emerging trends to enhance event planning
Financial monitoring and management of the event budgets in line with agreed cost structure. Negotiate prices with suppliers, regularly report specific event forecasts and final budgets.
Agenda management : active engagement in the recruitment and collaboration of IDC and third-party speakers.
Sales support : Act as a contact for customer inquiries and events information. Communicating, maintaining, and developing partnership offers, other sales materials and client relationships.
Actively expand the list of potential target customers.
Project Management : coordinate the event from the planning phase up to delivery. Maintain individual project plans, regularly and transparently communicate to all stakeholders.
Develop and distribute meeting materials to the parties involved before and after meetings : management, analysts, consultants, speakers, partners, potential partners, suppliers, and delegates.
Partner Management : responsible for professional communication with each partner from signing the contract till after the event.
Supporting the partner with delivery of all agreed services.
Delegate Acquisition : responsible for reaching the target number of delegates per event, manages the delegate recruitment process, periodical database update, lead the recruitment campaign on different channels and maintain relationships with key delegates.
Supplier Management : handling the full process related to suppliers required for the event organization and delivery. E.
g : AV production for online and onsite delegates, MC, third party speakers, when applicable venue, catering, photo.
Reporting : responsible for the reporting materials : pre-, during and post-event to the event partners, country manager, and regional event director.
Web and Conference Marketing : responsible for producing and coordination of the conference-related content. Update conference website continuously and accurately.
Create and coordinate the communication plan across all channels (email, phone, social media).
Social Media support : in cooperation with regional Event Director actively involved in the SoMe content production, posting, launching ad campaigns, etc.
Innovation : Come up with suggestions to enhance the event’s success
Minimum 3 years of work experience in the event / conference business sector or as an event marketing coordinator.
Knowledge of KPIs and marketing techniques for event management
Relationship management skills and openness to feedback
Strong computer proficiency
Ability to create and deliver presentations tailored to the audience needs
Excellent written and oral / presentation skills in English and Russian
Knowledge of the regional IT market and vendor landscape and general IT trends
Strong team member and "can do" attitude.
