Join Ecolab’s sales team as the Caspian Region Administrator based in Almaty, Kazakhstan. Within our industry leading Institutional division, this office management opportunity will play a key role in supporting two corporate account managers.

This position is responsible for managing and prioritizing requests from these associates and ensures all necessary reporting and correspondence is completed in a timely, accurate and professional manner.

As a critical role for the business, this position expeditiously and effectively resolves the issues and concerns of large, multi-

unit corporate account customers.

  • What You Will Do :

  • Follow safety policies to provide a safe workplace for all employees and support the guiding principles of Goal Zero to continually improve the Regional Operations Safety, Health and Environmental performance.
  • Act as Kazakh Safety Champion, linking the customer and JV safety representatives to the Asia / Caspian Regional Safety Manager.
  • Drive culture of safety and manage the Intelex database process.

  • Supports and is committed to the Quality Improvement Process. Plans strategies to ensure error-free work by doing it right the first time and conveys this attitude in the daily performance of various duties, in our drive continuous improvement.
  • Liase with the Regional Culture Lead and facilitate delivery of strategic culture themes within the Kazak teams.
  • To provide a confidential secretarial and administrative service support to the team (i.e. Letters of Invitation, e-mails, etc) from time to time as required.
  • Translate communications, reports, emails and any formal communications into specified languages (Kazakh, Russian, English), both orally or written, whilst maintaining message content, context, and style as much as possible.
  • Check translations of technical terms and terminology to ensure that they are accurate and remain consistent throughout translation revisions.
  • Provide in meeting oral translation support as and when necessary.

  • Check original texts or confer with authors to ensure that translations retain the content, meaning, and feeling of the original material.
  • Compile information about the content and context of information to be translated, as well as details of the groups for whom translation or interpretation is being performed.
  • General office management Organizing and keeping a Clean Working Environment, Coordination and implementation of office Procedures
  • Produce correspondence and documents and maintain presentations, records, spreadsheets and databases using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc
  • Arrange / assist in arranging, external meetings / conferences where necessary.
  • Business / Vacation travel, hotel bookings for employees based in the Caspian and visitors to the Caspian (Inter-Region Only)
  • Photocopying, scanning and printing various documents as required.
  • Facilitate tender support as required.
  • Support obtaining, translation, legal & Foreign Affairs for Tenders, work with 3rd party legal consultants as necessary
  • Manage administration associated with contracts / intercompany agency agreements for Caspian sales team. Act as point of contact for contracts database liaison.
  • Support Records Management program by archiving or shredding company documentation as appropriate.
  • Liaise with Kazakh Branch HR and Finance teams as necessary and with other Regional departments and districts on a routine basis.
  • Support and act as the HR focal point for local JV and Regional Contingent Worker activity within WORKDAY.
  • Position Details :

  • Candidate must reside in : Almaty, Kazakhstan
  • Minimum Qualifications :

  • High school diploma required; Associates degree preferred.
  • 2-4 years of experience; preferably in Administration & Translation
  • Fluent both in oral and written forms of Kazak, Russian and English.
  • Able to work independently.
  • Strong organization, prioritization and multi-tasking skills.
  • Must take ownership of workload and make decisions independently based on policy and customer needs.
  • Must have strong Microsoft Excel, Word, Power Point and Word skills.
  • Preferred Qualifications :

  • Understand and practice Company and Customer safety policies and procedures.
  • Ability to plan and organise effectively to meet the demands of the business.
  • Communicate effectively with all levels of personnel within a Customer’s organisation.
  • Ensure computer literacy e.g. : Microsoft Word, MS Project, Excel, PowerPoint & Outlook through experience and training.
  • Good time management skills.
